Procedure Erasmus + e di mobilità internazionale

(in accordo con le indicazioni fornite dalla Commissione Europea, dall’Agenzia Nazionale Erasmus + e dagli uffici centrali di Mobilità dell’Ateneo di Genova, approvate dal Consiglio di Scuola)


Al momento della presentazione della domanda di partecipazione al bando Erasmus + gli studenti devono avere già visionato l’offerta formativa presso le sedi straniere dove intendono recarsi, nonchè aver verificato se la sede richiede un Attestato di lingua relativo al livello richiesto.

Inoltre, gli studenti vincitori di Borsa Erasmus + devono:

  1. notificare allo Sportello Erasmus di Scuola il periodo in cui intendono recarsi all’estero, informazione che l’Ufficio deve inviare alle sedi ospitanti nella fase di ‘Nomination’ degli studenti vincitori;
  2. comunicare, entro la scadenza prevista e seguendo l’apposita procedura, la loro accettazione, o eventuale rinuncia, alla Borsa sia all’Ufficio centrale della Mobilità di Piazza Nunziata civ. 6 sia allo Sportello Erasmus di Scuola;
  3. a seguito della loro 'Nomination' ufficiale da parte dello Sportello Erasmus di Scuola presso le sedi ospitanti, seguire le tempistiche e le istruzioni di queste ultime per l’inoltro dell’Application, questa può essere firmata Referente Erasmus o dal Coordinatore;
  4. concordare con il proprio Referente Erasmus e con il Coordinatore di Consiglio di Corso di Studio il Learning Agreement, 'for Studies' o 'for Traineeship, e compilarlo in tutte le sue parti e firmarlo, farlo quindi firmare dal Referente dell’Accordo Bilaterale, o dal Referente di Dipartimento, delegato dal Coordinatore di CCS, o da quest'ultimo, e dal Coordinatore straniero, infine, farlo pervenire allo Sportello Erasmus di Scuola.

In particolare, occorre compilare propriamente:

  1. le tabelle A e B del Learning Agreementfor Studies’, dove vengono indicate, nella tabella A, le attività formative che si seguiranno all’estero e, nella tabella B, la loro corrispondenza con le attività formative del proprio Piano di studio. A questo proposito, NON si possono autorizzare esami da sostenere ‘parzialmente’ all’estero da ‘integrare’ al rientro in Italia, infatti, NON è richiesta una diretta corrispondenza dei crediti esteri con i nostri CFU, in quanto, il docente può autorizzare il riconoscimento di attività formative da sostenere all’estero con un numero di crediti diversi da quelle previste dal Piano di studi dello studente, basandosi principalmente sul programma dell’esame che lo studente intende sostenere all’estero e sul numero di ore di lezione ivi previsto. A questo proposito, sarà cura dello studente stesso presentare al proprio docente il programma dell’esame straniero. In alternativa, è stato creato il codice 88790, ‘esami fuori sede’, per il riconoscimento dei crediti acquisiti in Erasmus indicando solo la Tipologia, il SSD ed il numero di CFU, in quei casi in cui le attività formative che verranno seguite all’estero non hanno una precisa corrispondenza con le attività formative del Piano di studio dello studente o con la nostra offerta formativa;
  2. nel Learning Agreement 'for Traineeship’ è importante compilare la finestra ‘The traineeship is embedded in the curriculum’ se lo studente non è ancora laureato, indicando anche il numero di CFU che verranno riconosciuti come ‘Tirocinio o Prova Finale’, mentre occorre compilare la finestra ‘The traineeship is voluntary’ se lo studente è un Dottorando o Specializzando, ed, infine, la finestra 'recent graduate' se lo studente è un neolaureato.
  3. presentare un Piano di studi conforme al Learning Agreement approvato, utilizzando la piattaforma ‘Piano Individuale’, inserendo anche i codici ed i relativi CFU delle attività formative riportate nella tabella B del Learning Agreement.

Si fa inoltre presente che:

  1. Il Learning Agreement e relative, eventuali modifiche, devono essere approvati dal competente CCS. Si precisa che l’attività di Tirocinio nell’ambito del Programma Erasmus + ‘for Studies’ non può essere l’attività prevalente, che consiste nello studio.
  2. Il Learning Agreement, debitamente compilato, datato e completo di tutte le firme previste, deve essere presentato in originale, o, a discrezione del CCS competente, deve essere fatto inviare per e-mail direttamente dalla sede ospitante allo Sportello Erasmus di Scuola ed in copia al proprio Coordinatore o dallo studente stesso.
  3. La stessa procedura va seguita in caso di Modifiche al Learning Agreement originale, utilizzando la parte 'During the Mobility', le stesse si devono riflettere sul piano di studi. In questo caso occorre compilare sia la tabella A2 sia la tabella B2, indicando sia le attività aggiunte/'added' sia le attività cancellate/'deleted', dove le attività formative cancellate/'deleted' avranno valore negativo nel conteggio dei CFU. A questo proposito si precisa che nel caso in cui vengano modificate solo le attività formative da seguire presso l’Università straniera ma non le corrispondenti attività riconosciute presso il nostro Ateneo non occorre compilare la tabella B2 ma basterà aggiungere la nota “No changes, refer to table B”.
  4. Gli studenti Erasmus devono inviare, entro 5 giorni dall’immatricolazione presso l’Università ospitante, o dall’arrivo presso la sede di tirocinio, il ‘Certificate of Arrival’ alla Mobilità di Piazza Nunziata, 6.
  5. Al termine del periodo di soggiorno Erasmus ‘for Studies’, devono consegnare in originale, oppure, far inviare direttamente dalla sede ospitante, il ‘Certificate of Attendance’ alla Mobilità di Piazza Nunziata, 6, mentre il Transcript of Records deve essere consegnato in originale, o fatto inviare direttamente dalla sede ospitante allo Sportello Erasmus di Scuola, ed in copia al proprio Coordinatore di CCS, per la relativa delibera di riconoscimento dell’attività formativa conclusa all’estero, dei relativi CFU, nonché per la conversione dei voti. Il CCS ha la facoltà di riconoscere, eventualmente, anche esami riportati sul Transcript of Records ma non inseriti nel Learning Agreement, o eventuali Attestati di Lingua, come ‘Altre Attività’, mentre, tutti i voti degli esami superati e riportati sul Transcript of Records, corrispondenti ad insegnamenti inseriti nel Learning Agreement, devono essere riconosciuti allo studente il quale ha solo la facoltà di rifiutare un voto prima che venga trascritto sul Transcript of Records, se l’Università d’accoglienza lo consente. Nel caso di mobilità che preveda esclusivamente attività di preparazione alla tesi, o di tirocinio nell’ambito del Programma ‘Erasmus for Studies’, occorre un Attestato finale che certifichi l’attività svolta, se non verrà documentata dal Transcript of Records.
  6. Al termine del periodo di soggiorno Erasmus ‘for Traineeship’, devono consegnare il ‘Certificate of Attendance’ e la pagina ‘After the Mobility’, debitamente compilata, datata e firmata dal Tutor straniero, con le stesse modalità sopra menzionate.
  7. L’approvazione finale dei crediti e dei tirocini acquisiti all’estero spetta quindi ai CCS, ai quali verrà inviata la documentazione dallo Sportello. La delibera finale del CCS relativa ai punti 5 e 6 deve essere trasmessa dal Coordinatore del CCS, o da chi per lui, allo Sportello Erasmus di Scuola che invierà tutta la documentazione necessaria, Learning Agreement, eventuali Modifiche, gli Attestati Finali, o, Transcript of Records e relativa delibera alle Segreterie degli Studenti che provvederanno a caricare gli esami sostenuti all’estero ed i relativi voti nella carriera dello studente, inoltre, lo Sportello Erasmus di Scuola si occuperà della rendicontazione.
  8. Per i neo-laureati l’attività svolta all’estero verrà riportata quale ‘Addendum’ al Diploma Supplement.
  9. Nel caso di richiesta di Proroga del periodo Erasmus inizialmente pattuito, occorre compilare e far firmare da entrambi i Coordinatori il relativo modulo di 'Prolungamento' che deve essere trasmesso dal Coordinatore straniero almeno un mese prima della scadenza prevista.
  10. Tutti i documenti e le istruzioni sulle scadenze sono contenuti anche nel KIT dello Studente Erasmus reperibile sul sito della Mobilità.
  11. Gli studenti in Erasmus possono rientrare, solo in casi eccezionali, per sostenere esami presso il nostro Ateneo, previa autorizzazione del Coordinatore del competente CCS a cui lo studente deve preventivamente inviare motivata istanza, specificando la data dell’esame che intende sostenere.
  12. Gli studenti in Erasmus devono superare almeno un esame, o conseguire i crediti di ‘Altre Attività’ inclusi nel Learning Agreement, per la validità della mobilità e della relativa Borsa Erasmus, eccetto i ‘tesisti’ che devono presentare l’attestazione dell’attività di preparazione alla tesi svolta.
  13. I Docenti devono sempre segnalare allo Sportello Erasmus di Scuola tutti gli studenti in mobilità, soprattutto su Accordi di Cooperazione Accademica, 'Oltre l'Erasmus', 'Tesi a Sportello' e CINDA e devono sempre richiedere la compilazione ed approvazione del Learning Agreement e la presentazione del Transcript of Records finale, che devono essere trasmessi allo Sportello Erasmus di Scuola, con le stesse modalità dell’Erasmus, congiuntamente alla delibera finale di riconoscimento dell’attività svolta all’estero del competente CCS.

Infine, si fa presente che le Università straniere che firmano gli Accordi Bilaterali di Mobilità Erasmus + non possono richiedere tasse di iscrizione agli studenti Erasmus, né impedirne l’immatricolazione, anche nel caso di mobilità Erasmus per Traineeship: eventuali problematiche di questo tipo devono essere segnalate allo Sportello Erasmus di Scuola.

Erasmus + and international mobility procedures

(in accordance with the indications provided by the European Commission, the Erasmus + National Agency and the central mobility offices of the University of Genoa, approved by the School Council)


At the time of submitting the application for participation in the Erasmus + call, students must have already viewed the academic offer at foreign locations where they intend to go.

In addition, Erasmus + Scholarship winners must:

  1. notify the Student Desk of the period in which they intend to go abroad, information that the Office must send to the host offices during the ‘Nomination’ phase;
  2. communicate, within the set deadline and following the appropriate procedure, their acceptance, or renunciation, of the scholarship both to the Central Mobility Office of Piazza Nunziata civ. 6 and to the Student Desk;
  3. following their official 'Nomination' by the Student Desk at the host locations, follow the the instructions of the Student Desk for the forwarding of theApplication, that can be signed by Erasmus referent or by the Coordinator;
  4. fill together with your Erasmus contact person and with the Degree Program Coordinator the Learning Agreement'for Studies' or 'for Traineeship, and complete it in all its parts and sign it, then have it signed by the Referent of the Bilateral Agreement, or by the Department Referent, delegated by the Coordinator of CCS, or by the latter, and by the foreign Coordinator, finally, to send it to the School Student Desk.

In particular, it is necessary to fill in properly:

  1. Tables A and B of the Learning Agreement ‘for Studies’, which indicate, in table A, the study activities that will be carried out abroad and, in table B, their correspondence with the student Study Plan. In this regard, it is NOT possible to authorize exams to be taken 'partially' abroad to be 'integrated' when returning to Italy, in fact, a direct correspondence of foreign credits with our ECTS is NOT required, as the teacher can authorize the recognition of training activities to be sustained abroad with a number of credits different from those foreseen in the student's study plan, based mainly on the exam program that the student intends to take abroad and on the number of lesson hours provided therein. In this regard, the student himself will present the foreign exam program to his teacher. Alternatively, the code 88790, 'off-site exams', was created for the recognition of the credits acquired in Erasmus indicating only the Typology, the SSD and the number of ECTS, in those cases where the training activities that will be followed at the abroad do not have a precise correspondence with the educational activities of the student's study plan or with our educational offer;
  2. in the Learning Agreement 'for Traineeship’it is important to fill in the window ‘The traineeship is embedded in the curriculum’ if the student has not yet graduated, also indicating the number of CFUs that will be recognized as' Internship or Final Exam ', while it is necessary to fill in the window ‘The traineeship is voluntary’ if the student is a PhD student or Graduate, and, finally, the window 'recent graduate' if the student is a recent graduate.
  3. present a study plan compliant with the approved Learning Agreement using the 'Individual Plan' platform, also entering the codes and the CFU of the activities shown in table B of the Learning Agreement.

Furthermore, it should be noted that:

  1. The Learning Agreement and any possible related changes must be approved by the CCS in charge, preferably before the signature of the foreign Coordinator. Internship activity within Erasmus+ ‘for Studies’ Program can’t be the main activity, which consists of studying.
  2. The Learning Agreement, dated and completed with all the needed signatures, must be presented in original or, at the discretion of the CCS, must be sent via e-mail directly from the host office to the Student Desk and in copy to the Coordinator.
  3. The same procedure must be followed in case of modifications to the original Learning Agreement, using the section 'During the Mobility'. The same changes must appear on the study plan. In this case, it is necessary to fill in both table A2 and table B2, specifying both the added activities and the cancelled ones, where the latters will have a negative value in the CFU count. In this regard, it should be noted that if only the educational activities to be followed at the foreign university are modified but not the corresponding activities recognized at our athenaeum, it is not necessary to fill in table B2 but just add the note "No changes, refer to table B".
  4. Within 5 days of the enrollment at the host University or of the arrival at the place of internship, the Erasmus students must send the Certificate of Arrival’ to the Mobility in Piazza Nunziata 
  5. At the end of the period of Erasmus ‘for Studies’ stay, the students must deliver the original copy of the ‘Certificate of Attendance’ to the Mobility in Piazza Nunziata 6; alternatively, they must have it sent directly from the host University to the same place. The ‘Transcript of Records’ must be delivered in original copy, or sent directly from the host place, to the Student Desk. A copy of it must be delivered to your CCS Coordinator, for the concerning resolution of recognition of the training activity completed abroad, for the concerning CFU and for the conversion of grades. If necessary, the CCS has the faculty of recognizing also exams reported in the ‘Transcript of Records’, but not included in the ‘Learning Agreement’, or any language certificate as ‘Other activities’. All the passed exam marks reported in the ‘Transcript of Records’, corresponding to teachings reported in the ‘Learning Agreement’, must be recognized to the student which has only the right to decline the mark before it’s been transcripted in the ‘Transcript of Records’(if the host University allows it). In case of mobility that exclusively includes preparation for the thesis activities or internship within the ‘Erasmus for Studies’ program, a final certificate that certifies the activity carried out in required; this last step it’s not necessary if those activities will be documented in the ‘Transcript of Records’.
  6. At the end of the Erasmus ‘for Traineeship’ stay period, students must consign the ‘Certificate of Attendance’ and the ‘After the Mobility’ page, duly completed, dated and signed by the foreign Tutor, in the same manner mentioned above.
  7. The final approval of credits and internships acquired abroad is up to the CCS, to which the documents will be sent by the Student Desk. The final resolution of the CCS relating to points 5 and 6 must be sent by the CCS Coordinator, or his delegate, to the Student Desk, which will send all the necessary documents (the Learning Agreement, any possible changes, the Final Certificates or the Transcript of Records and related resolution) to the Student Secretariats. The Secretariats will provide to register the exams taken abroad and the relative marks in the Student’s Career; the Student Desk will deal with the reporting.
  8. For recent graduates, the activity carried out abroad will be reported as an ‘Addendum’ to the Diploma Supplement.
  9. In the case of a request for an extension of the Erasmus period initially agreed, the relevant Extension form must be completed and signed and it must be sent by the foreign Coordinator at least one month before the scheduled deadline.
  10. All documents and instructions about deadlines are also contained in the Erasmus Student KIT available on the Mobility website and at the mobility office in Piazza Nunziata, 6. 
  11. Erasmus Student can return, only in exceptional cases, to take the exams at our University, subject to the authorization of the Coordinator of the competent CCS to which the student must first send a justified request, specifying the date of the exam he intends to take.
  12. The Erasmus students must pass at least one exam or earn ‘Other Activity’ credits included in the Learning Agreement, to validate the mobility and the Erasmus scholarship. Undergraduates are excluded from this; they must present the certificate of preparation for the thesis carried out.
  13. All mobility students must always report by the Lecturers to the Student Desk, above all to the ‘Accordi Extra – LLP’, of the Academic Cooperation and CINDA and they must always ask for the compilation and approval of the Learning Agreement and the presentations of the final Transcript of records, both must be sent to the Student Desk with the same formality of the Erasmus, together with final resolution of the recognition of the activity carried out abroad by competent CCS.

Finally, please note that the foreign universities that sign the Erasmus + Bilateral Mobility Agreement cannot request tuition fees from Erasmus students, nor prevent their enrollment, even in the case of Erasmus mobility for Traineeship: any problems of this type must be reported to the Student Desk.
